Office Administrator
Peacock Properties is growing! We are currently looking to add our newest team member in the role of Office Administrator. This person will be front-line, providing critical support to our team and clients.
Core responsibilities to include:
  • Answering and triaging incoming phone calls
  • Triaging company’s main inbox and responding to owners on a daily basis
  • Schedule appointments with vendors/maintenance partners to provide non-routine services to our property portfolio
  • Follow up with vendors/maintenance partners for proposals and bills
  • Manage the coordination of recurring services across our portfolio
  • Manage calendar of association meetings and prepare supporting documentation needed to run them. Prepare or reports, presentations, as needed.
  • Maintain digital and physical office files
  • Drafting and sending correspondence, newsletters, and other formal documents
  • Assist with the oversight mail deliveries, packages, and couriers
  • Other general office administration support and duties as needed
The right candidate will:
  • Be a people person. You will be the face of the company with your front-line support.
  • Have superior time management skills. This is critical to this role. You will wear many hats managing recurring workflows that are key to our operations. This will enable you to learn all the facets of our business. You will come with the experience to know how to develop a time-management strategy that will make it all happen. This excites you!
  • Be 100% willing and able to make daily use of the software we use for our day-to-day operations. We use 8x8 for phones, Buildium for almost everything, Smartsheet, and Office365 to name a few. We can offer support to get you up and running, but you are fearless to learning unfamiliar programs.
  • “Can-do” approach to getting resolutions and an overall positive attitude!
Requirements:
  • High school diploma or equivalent
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); ability to quickly learn new software used for daily operation
  • Prior experience handling office responsibilities, experience in customer service, or related field
  • Excellent written and verbal communication skills
  • Highly organized multitasker who works well in a fast-paced environment
  • Willingness to learn and to grow with the company
  • Thrive in a team environment. We’re a great bunch to work with!
  • Available Monday - Friday 9 AM – 5 PM
